SETTINGS allows studio management to customize TRF app. Six settings tabs intuitively organize the options.

 

FORM OPTIONS Tab

The configurable form options are:

  • Welcome Message
  • Automatic Emailer
  • Optional Client Notes
  • Require client email address
  • Show/hide Health Questions
  • Request Gender
  • Require Age
  • Request Pronouns
  • Require second photo of ID
  • Require second photo of Gov’t ID
  • Enable or disable the photo capturing of client ID

 

Welcome Message

This setting allows you to customize a popup that welcomes clients as they begin using TRF app. You can include information that your local health laws require you to give to your clients, a marketing message, or any message you choose. The Welcome Message defaults to OFF upon downloading the TRF app.

Configuring the Welcome Message

  1. Enable the Welcome Message by sliding it to gold.
  2. Tap Add Welcome Message to enter text. You can type in your message or use the iPad OS cut/copy/paste feature to add it from a document you have opened in another iPad app.

 

Automatic Emailer

(This is a subscription feature.)

TRF knows that some regions are regulated by laws requiring clients to receive a copy of their waiver. Studios are often required to provide healing instructions and other mandated documents that could be printed emailed to the client. TRF delivers a simple solution, keeping clients informed and studios compliant while saving tree waste and printer cartridge pollution.

 

Configure TRF to automatically email your clients in two ways.

1. Enable TRF to automatically email clients a PDF copy of the waiver they submit for each session.

2. Enable TRF to automatically email your clients informational PDFs (stored on your cloud or iPad).

Enabling this feature will automatically require email addresses from all clients.

In the New Client Flow>THE ART section, your clients will see this message:

“Currently, this studio requires your email address to comply with health and/or legal codes. We will only send marketing messages and connect with you via social media if you opt in.”


2. Enable TRF to automatically email your clients informational PDFs (stored on your cloud or iPad).

You might send healing instructions, requests for reviews, or information required by local health laws.


Configuring the Automatic Emailer

  1. Prepare your PDF and download it to your iPad, or connect your iPad to your cloud so you can find and download it from there. You can also email or Airdrop it to yourself, save it to your iPad, and add it from there.
  2. Tap to configure, then slide to gold to enable Automatic Emailer.

 

PDF EMAILER SETTINGS


You may want to or are required by law to give your clients additional information about their tattoos and the process. This could be healing instructions, health awareness bulletins, etc. Sometimes, the law also requires clients to receive a copy of their waiver.


Back in the day, these forms were printed and given to clients in each session (which they threw in the studio trash on the way out the door). TRF eliminates that printing hassle by emailing your clients those forms and waivers.

  1. Enable the Automatic Emailer Function
  2. Enable the 
  3. Type a subject line.
  4. Type or paste the body of the email describing the attached PDF forms.
  5. Attach the PDF forms you wish to share by navigating to them in your iPad files or your connected cloud.
  6. Choose to/not to email a copy of the waiver by enabling, adding a subject, body, etc.

 

WAIVER EMAILER SETTINGS

  1. Enable the ‘email waiver to client’ function.
  2. Type an email subject line.
  3. Type or paste text into the body of the email describing the attached PDF waiver.


Example: You are ACME Tattoo


The law requires you to give your clients healing instructions. Why print them? Instead, the artist tells the person how to heal their tattoo, and TRF emails them HEALING YOUR ACME TATTOO.pdf, and you’ll slide in a request for online reviews.

Form Requirements

Optional client notes

Giving your clients the chance to be heard is priceless. This feature asks them to tell you anything that comforts them. Having these notes on their waiver—in writing—might help you better connect with them. When enabled, they will be asked in the New Client Flow>BIO section, “Client: What would you like to tell us?” They can skip notes if they want to and proceed with their waiver. Note: what they say here will be on the final pdf waiver.

 

Require client email address

Your studio may want to share information about aftercare, health bulletins, or legal disclaimers required by law. Instead of printing, you can set TRF to email this information to all clients.

There are two ways to require client email addresses. 

  1. Enable the slider; gold means go.
  2. By enabling the Automatic Emailer function, TRF will automatically require email addresses, and this message will appear to clients in the New Client Flow>SOCIAL screen.

“Currently, this studio requires your email address to comply with health and/or legal codes. We will only send marketing messages and connect with you via social media if you opt in.”

Clients will be prompted to enter their email address.

Note:

Marketing Opt-In: By default, on the New Client Flow> SOCIAL screen, TRF asks all clients for permission to connect with them socially and by email. We suggest never marketing to clients without permission.

 

Show or hide Health Questions

This option allows studio management to offer or not offer clients the option to disclose their current health conditions that may influence the tattoo process. We suggest asking these questions to strengthen the legal coverage of your waivers.

 

Request Gender

This option allows studio management to offer or not offer clients the option to disclose their gender. Client responses will be reflected on their final PDF waivers.

 

Request Pronouns

This option allows studio management to offer or not offer clients the option to share their pronouns. Client responses will be reflected on their final PDF waivers.

 

Require Age

By popular demand, this option allows studio management to require clients to hand-enter their age and dial in their birthday on the date picker. While this is indeed redundant, many health departments worldwide require both. 

 

Require second picture of Government ID

Enhanced Government ID Capture

Many Government IDs hold pertinent information on both sides. In TRF Settings, studio management can enable the option to photograph both sides of the ID. When a client chooses to photograph a government-issued ID, TRF will automatically prompt for photos of both sides, capture, store, and display them accurately. These photos will be added to the uploaded waiver.

 

Capture picture of ID

In some cases—and countries—it is not common to carry or request a photo ID. Other documents prove identity. By default, TRF is set to capture ID photos. Disabling this feature will skip the ID photo capture and move clients directly to the BIO section to enter their details. We recommend that studios in the USA capture ID photos in case a legal question of client identity arises, especially concerning minors and guardians.

FAQs: TRF Configurable Form Options

 

    • Q: Can TRF app automatically email clients a copy of their waivers?

      A: TRF's Automatic Emailer allows you to send clients a copy of their waiver and additional PDFs containing aftercare instructions, health information, or other legal disclosures.  (This is a subscription feature.)

 

    • Q: Can TRF collect client email addresses?

      A: In short, yes. You can set TRF to ask for opt-ins or you can require email addresses if your local laws require that you give your clients a copy of their waiver. Give = print it. TRF = email it. These email addresses can be exported from TRF to your cloud in a tidy spreadsheet, along with all other non-health-related client information. If you are marketing to your clients, we suggest you ask them to opt in first. (Automatic Emailer and Exporting Reports are subscription features.) Learn more about Exporting Client Lists here.


    • Q: Can I download my client information? 

      A: Yes! You can download your client information in our Client List Reports generator under the Reports Tab in your Settings. This will generate an easy-to-navigate .csv file of your client information. (Client List Reports is a subscription feature.) Learn More About Generating Reports Here.

 

    • Q: Can I disable capturing client IDs altogether?

      A: Yes. However, TRF recommends capturing IDs, especially in the USA, for legal protection regarding client identity, particularly for minors and guardians. Disabling this feature will skip the ID photo step.
